Gill Tour & Travels (“we”, “our”, or “us”) is a taxi and tour service based in Amritsar, India. We are committed to handling your personal information with care, transparency, and respect. This policy explains exactly what data we collect when you use our website or book a ride, how we use it, how long we keep it, and what rights you have over it.

By submitting a booking through our website or contacting us via WhatsApp or phone, you agree to the practices described in this policy.

Information We Collect

We only collect information that is necessary to arrange and complete your booking. We do not collect any information beyond what is listed below.

Booking form data

When you submit a booking through our website, we collect:

  • Full name — to address you correctly and identify your booking
  • Phone number — to confirm your booking and for your driver to reach you on the day of travel
  • Pickup location — the address or landmark where you need to be collected
  • Drop-off location — your destination
  • Travel date and time — to schedule your ride

This information is submitted voluntarily by you through our booking form. No booking can be fulfilled without it.

Technical data

Our web server automatically logs basic technical information when you visit the site:

  • IP address — recorded by the server for security and abuse prevention
  • Browser type and operating system — to ensure the site displays correctly
  • Pages visited and timestamps — standard server access logs

This technical data is not linked to your booking information and is not used for marketing or tracking purposes.

WhatsApp and phone communications

When you contact us directly via WhatsApp or phone call, we may note your name, phone number, and travel requirements in order to handle your enquiry. This information is used solely to respond to you and arrange your booking.

How We Use Your Information

Your information is used exclusively to deliver the taxi and tour service you have requested. Specifically:

Arranging your journey
Your name, phone number, pickup location, drop-off location, and travel date are used to schedule and confirm your booking in our internal records.
Driver dispatch via WhatsApp
Once a driver is assigned to your booking, we share your name, phone number, pickup address, destination, and travel time with the assigned driver via WhatsApp. This is necessary so your driver knows where to go and can contact you if needed. The driver receives only the information required to complete your journey — nothing more.
Booking confirmation to you
After a driver is assigned, we send you a WhatsApp message confirming your driver’s name, phone number, vehicle model, and license plate number. This is sent to the phone number you provided in the booking form.
Customer support
If you contact us about a booking, we use your information to locate your record and resolve your query as efficiently as possible.
Internal financial records
Booking details (trip route, date, and pricing) are retained in our admin system for internal accounting purposes — for example, to reconcile payments to outsourced drivers. Your personal contact details are part of these records.

Data Sharing

We do not sell, rent, or trade your personal information to any third party under any circumstances.

Your information is shared only in the following limited and necessary circumstances:

  • Assigned drivers — the driver allocated to your booking receives only the trip details required to complete your journey (your name, phone number, pickup and drop-off addresses, date and time). Drivers are instructed not to use this information for any purpose beyond completing the assigned trip.
  • WhatsApp (Meta Platforms) — driver dispatch and booking confirmation messages are sent via WhatsApp. WhatsApp’s own privacy policy governs the transmission of these messages. We do not share data with WhatsApp beyond what is contained in these messages.
  • Legal obligation — if we are required by Indian law or a valid court order to disclose information, we will comply with that legal obligation.

No data is transferred to servers outside India in connection with our booking system.

Data Retention & Security

How long we keep your data

Booking records — including your name, phone number, and journey details — are retained for two years from the date of your booking. After this period, records are deleted from our database.

Server access logs (IP address, browser data) are retained for up to 90 days for security purposes and then automatically overwritten.

If you request deletion of your data before the standard retention period ends, we will action this within 14 days. See Your Rights below.

How we protect your data

Your booking data is stored on a secure web server. The following measures are in place:

  • All data is transmitted over HTTPS (TLS encryption) — your browser will show a padlock icon
  • The database is accessible only from within the server — it is not exposed to the public internet
  • Database credentials are stored as server environment variables — never in publicly accessible files
  • The admin panel is protected by a passcode and secured session management with automatic timeout
  • The /config/ directory is blocked from all direct web access
  • All database queries use prepared statements to prevent injection attacks

No method of internet transmission or electronic storage is 100% secure. While we apply best practices to protect your data, we cannot guarantee absolute security. In the unlikely event of a data breach affecting your personal information, we will notify you by phone or WhatsApp as soon as reasonably practicable.

Your Rights

You have the following rights regarding the personal information we hold about you. To exercise any of these rights, contact us using the details at the bottom of this page.

Right to access
You may request a copy of the personal information we hold about you at any time. We will provide this within 14 days of receiving your request.
Right to correction
If any information we hold about you is inaccurate or incomplete, you may ask us to correct it. Contact us with your booking reference and the correction required.
Right to deletion
You may request that we delete your personal data from our records. To do so, contact us via WhatsApp or email with your full name, phone number, and approximate booking date. We will confirm deletion within 14 days.

Note: we may be unable to delete records if a legal obligation requires us to retain them (for example, financial records required for tax compliance).
Right to object
You may object to our processing of your data. In practice, we only process your data to fulfil your booking, so exercising this right will result in the cancellation of any pending or future bookings.

Cookies

Our website uses only functional, session-based cookies. We do not use advertising cookies, tracking pixels, or analytics platforms such as Google Analytics.

Session cookie
A temporary cookie is set when you interact with the booking form or the admin panel. It exists only to maintain your session state (for example, to prevent cross-site request forgery attacks). It is deleted automatically when you close your browser. It contains no personal information.

Because we use only strictly necessary cookies, no cookie consent banner is required under current Indian IT rules. If you disable cookies in your browser, the booking form may not function correctly.

Children’s Privacy

Our booking service is intended for use by adults aged 18 and over. We do not knowingly collect personal information from children under 18. If you believe a child has submitted personal information to us, please contact us immediately and we will delete it promptly.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we do, we will update the “Last updated” date at the top of this page. We encourage you to review this policy periodically.

Continued use of our website or booking service after any changes constitutes your acceptance of the updated policy.
